To ensure the successful change of email address:
- Download all of the designs created in the Canva account you currently have access to.
- Fill out this form to indicate the new and previous email addresses.

You can find your content using the team switcher to toggle back to your old personal team. These instructions will demonstrate how to switch teams and easily migrate any content from your old team to your new premium.

What do I do when I or my student(s) receive an error message when trying to log in to Canvas from the CCPS Portal?

Most likely, the email address is incorrect in Infinite Campus and conflicts with the info that Canvas has for you. You will need to complete an Incident IQ ticket and select Software/Online Systems>Canvas>Can’t log in>Email address not found

How can my students fix the Google Authorization error message that appears when they attempt to submit a file from Google Drive?

Students should clear the cache/cookies on the laptop and/or re-authorize Canvas and the Google LTI in Google account Settings.

How can my student(s) resolve the 429 error message that appears anytime he/ she/ they attempts to access a Google file within my Canvas course?
-
Error 429 involves exceeding the Google Storage limit. If a student(s) is over the quota, they will not be able to create new files nor access existing Google files, even for a Canvas assignment, until the storage level is under 100%
Resolution Steps for Student(s):- Press Ctrl+Shift+Backspace to clear the cached browsing data.
- Select All time in the Time range dropdown menu and click the Delete data button.

Review Google storage use and delete large or unnecessary files in Drive by going to https://drive.google.com/drive/quota.

In Drive, delete any files you no longer need, especially videos and images, then empty the Trash to permanently delete them and free up space.

Go to Gmail to delete Inbox messages that are no longer needed then empty the Trash to permanently delete them and free up more space.

Course content is only visible to students when the assignment/ quiz/ discussion/ page is published, the module where the assignment/ quiz/ discussion/ page is located is published, and the course that contains the module is published. Preview course content in Student View to ensure access/ visibility before directing students to the course or coursework.

How do I create an assignment so each student receives their own copy of the assignment attachment/ handout?

How can my students respond to a PDFed handout?

Teachers can use the Student Annotation assignment type to upload a PDF for students to annotate and submit directly in Canvas. On the assignment creation page, instructors can select the option to create a Student Annotation assignment type.

How can a parent/guardian access their child’s Canvas?

Parents/Guardians of early learners can access Canvas by going through their child’s CCPS Portal account. To do so, visit portal.clayton.k12.ga.us, log into the CCPS Portal using the child's username and password, and click the Canvas tile. Click the appropriate class tile on the Canvas Dashboard. Parents/Guardians of older children can add the Canvas Parent app to their mobile phones.

What should I do if students/parents receive an “invalid pairing code” error message when attempting to link to their child as an observer in Canvas?

CCPS parents must use the Canvas Parent app. If parents search Google or attempt to log in from a personal computer, they will receive an invalid pairing code error message when attempting to pair with their child.

How can a student access Canvas on an Android or IOS device?

Students using an IOS or Android device should download the Canvas Student app from the App or Google Play store. Once the app has been installed, students will need to search for Clayton County Public Schools and sign in through the CCPS Portal.

How can I automatically transfer grades from Canvas to Infinite Campus?

CCPS teachers must properly set their assignments for grade sync with Infinite Campus. Infinite Campus is the district’s official grade and attendance reporting platform.

How do I change the email notifications that I receive from Canvas?

Canvas includes a set of default notification settings you can receive for your courses. However, you can change the default settings by setting your notification settings. These settings only apply to you, not how course updates are sent to other users.

What should my students do if they have never logged into the CCPS “RapidIdentity” Portal and need to claim their account?

Teachers can record an instructional video that includes a secondary video from a site like YouTube, SafeTube, or Khan Academy using the Studio feature found within Canvas.

Yes, students can access Canvas Studio, Canva for Education, and/or Adobe Express to create a video from scratch or a template.

How can a student sign into his/her Google account without signing out of the personal account(s) that are already signed into Google?

The student can open a new incognito window in Chrome to sign into the CCPS Portal and access Google Workspace applications like Drive & Canvas without requiring existing users to sign out of Google. Select “Ctrl + Shift + N” on the keyboard to start a new incognito window then visit portal.clayton.k12.ga.us to sign into the CCPS Portal to access the desired Google Workspace application.

How do I add an extension to Google Chrome on my CCPS-provided laptop?

All software/add-ons/extensions must go through a testing/vetting process. That process begins with completing the "Request for Approval - Software" form. The request must be submitted by a principal, content coordinator, or supervisor.

I forgot to add a “What is your name” question to my Google Form and I already have submissions. How can I see who submitted each Form response?

There is no way to know which student completed a Form assignment that’s already submitted. For future Form assignments, collect verified email addresses to eliminate the need for a “name” question on the assignment and allow Forms to capture email addresses on new Form submissions automatically.

One of my department/team members is leaving the district. How can we maintain access to the Google Drive files that are important to the department/team?

A Shared Drive in Google is the answer! Before your team/department member departs, create a Shared Drive, add the appropriate members, and transfer the important files & folders to the Shared Drive. A Shared Drive and its file/folder content remains active regardless of the changes in members.

I checked out a MimioVote Kit for use in my classroom but the Vote kit isn’t working properly. How can I get troubleshooting assistance?

After great deliberation, the Dept of Tech has decided to focus our training and support efforts on MyClass (MimioConnect) as our district-provided application for real-time interactive lessons for use with student Chromebooks. MimioConnect serves as a replacement for MimioMobile making the MimioVote Kits obsolete in this district. Any lingering MimioVote Kits are now out of warranty and will not be supported.

Please visit the CCPS Portal to select the Incident IQ tile and submit a hardware t-ticket for one or more of the peripheral(s) or a software t-ticket for MimioStudio Notebook. Troubleshooting actions will be provided but please be advised that most of the peripherals are no longer under the 3-5 year warranty.

Are Munis, Employee Self Service, and Time and Attendance (formerly Executime) the same system?

Munis, ESS, and Time and Attendance are three distinct yet interrelated systems. They each have a separate function and login credentials.

If I have trouble logging into Munis or Employee Self Service how do I get help?

For log-in support or access, submit a technology support ticket through Incident IQ for password reset or access.

How do I log into Employee Self Service?
-
To log into Employee Self Service, users will enter their username (your username is your employee ID without the E0).
If this is your FIRST TIME logging into Employee Self Service, your password will be the last four digits of your social security number. You will need to use this as the password field and in the "current password" field when you are prompted to change the password.

Users should not be logging into Time and Attendance.

To log into Time and Attendance, please do the following:

Another screen will come up, this is ExecuTime.

Use this screen to click the clock in/out as a non-exempt employee or check in/out as an exempt employee and to use other functions within the system.

Access to Munis is available upon request by the approving supervisor through the submission of an Incident IQ ticket. Once access is granted, you will log in using your network email account and password.

Launch the Employee Self Service application from the Rapid Identity Portal.

Click "Forgot your password?" link in blue.

Who should clock in and out?

Typically, employees with a non-exempt (hourly) status should clock in and out daily.

Should all Non-Exempt staff clock in and out for lunch, totaling 4 punches per day?
-
Non-exempt employees who have an “unpaid lunch” as per Board Policy Regulation GARB-R(1): Employee Time Schedules, should clock in upon arrival, clock out for lunch, clock back in upon returning from lunch, and clock out at the end of their workday; totaling 4 punches per day.

Non –exempt employees who have a “paid lunch” or “no lunch” as per Board Policy Regulation GARB-R(1): Employee Time Schedules, should clock in upon arrival, and at departure at the end of their workday; totaling 2 punches per day.

Are teachers required to clock in and out?

Teachers are Exempt employees and are therefore not required to clock in and out for pay. However, the check-in and check-out feature is used to simulate teacher sign-in so that school administrators will know which teachers are in the building. Teachers are encouraged to check in using the check-in feature via Executime.

Where do substitutes clock in and out?

Substitutes will maintain the current process for clocking in and out via the process at their assigned school.

Who should I contact if my time and leave approval are not being routed to my supervisor in ExecuTime?

A technology ticket should be submitted via Incident IQ to report technical issues about ExecuTime functionality.

Are there time clocks at each office, school, or district location?
-
Most locations have multiple time clocks located throughout the building. For the few that may not, access to the Executime Online platform is available via the employee's computer or via a mobile/smart device.

How do I request time off?

Employees can request time off electronically via Executime. Leave requests include things such as annual, sick, personal, professional, FMLA, etc.

Can an employee clock in/out somewhere other than the home department or school?

Yes, once an employee is enrolled into the time clock system, they can clock in/out at any time clock. Clock in and out punches are also available via the Executime online platform.
